On-the-day coordination

Your wedding day, without a worry.

On the wedding day someone has to hold timings, suppliers, guests and surprises together. If that someone is you, you do not get to enjoy the party. With coordination you have one person to turn to, from the first preparations to the last toast.

What we do

One conductor for the whole day

Planning prepares the wedding in the months before. Coordination runs the day itself: it is a different service, and it can suit couples who planned everything on their own.

  1. The schedule, in one document

A running order shared with every professional: arrivals, set-up, ceremony times, transfers, cake cutting, music. Everyone knows what to do and when.

  2. One contact for every supplier

Photographer, videographer, caterer, band, florist: the coordinator is the point of contact, so not a single call reaches you.

  3. Guests, looked after

Clear directions to each venue, transfer timings, dietary needs passed on in advance to whoever needs them. Guests know where to go without asking you.

  4. Surprises, handled before you see them

A delay, a change of timing, the wind picking up. The backup plan is agreed before the day, together, and handling it is down to the coordinator. Nobody can promise the weather, but you can be ready.

  5. Closing the day

End of services, dismantling and agreed handovers: the day ends when you have said goodbye to your last guest, not when you have finished organising.

How we work

How we work, before and on the day

Coordination begins before the day: the conducting works because it has been prepared.

  1. Tell us about your day

Venues, rough timings, professionals already chosen, guests and the moments you care about most.

  2. We build the schedule with the professionals

We gather contacts, check availability and put together a shared running order.

  3. Checks before the day

A conversation with you and the suppliers about timings, access and the bad-weather plan, with a site visit if needed.

  4. On the day: you enjoy, we coordinate

One point of contact follows timings and suppliers and solves surprises, without you having to deal with them.

In the proposal we state who your contact will be on the wedding day and what the service covers, including hours on site.

Before you choose

What to ask whoever coordinates your day

These apply whoever you choose: they show how much of the load is really taken off you.

  • Who will physically be there on the wedding day?
  • How many hours on site are included, and what if the schedule runs long?
  • How do they coordinate with the photographer, videographer and suppliers?
  • What is the plan for bad weather or a supplier who does not show up?
  • How are suppliers paid on the day?

Who it is for

Who this service is for

For couples who want to be guests at their own wedding, not the site manager.

  1. Couples with guests travelling in

When many people arrive from far away, clear timings and directions make a difference to everyone.

  2. Couples with several venues in the day

Ceremony, aperitivo and reception in different places call for someone running the transfers.

  3. Couples who planned on their own

If you prepared everything yourselves, someone holding the threads on the day gives the party back to you.

  4. Couples who want as few worries as possible

From morning to goodbyes, you know there is someone to turn to for anything.

Frequently asked questions

Coordination: your questions

What is the difference between planning and coordination?

Planning prepares the wedding in the months before: choices, professionals, logistics. Coordination runs the day itself. You can request them together or separately.

Do we need it if we already have a wedding planner?

If your planner already covers the day, probably not. If you planned independently or their service ends earlier, it can help: mention it in the request and we will look at it.

How many hours on site are included?

It depends on the schedule: preparations, ceremony, reception. We set it out in the proposal, before any commitment.

What happens if it rains?

A backup plan is agreed beforehand, with you and the suppliers, and applies to everyone. Nobody can guarantee the weather, but a prepared day works anyway.

How much does it cost?

It depends on hours on site, number of venues and the size of the programme, so we do not publish a price list. After your request we send a clear proposal.

Your next step

Tell us about your wedding.

Your date or season, the area, your guests and the help you need: it takes a few minutes. A real person will reply to you.
